Vendor Profile Management

Who can do this?

  • Admins can add and edit vendor profiles.

  • Only users with permissions to see a contract or workflow can see content in the Associated Contracts and Associated Workflows tabs.


Additional Considerations

  • The vendor directory allows duplicate NPIs to facilitate reporting for legacy customers that have multiple contracts falling under the same NPI.

  • For auditing and compliance purposes, vendor profiles cannot be deleted.


How to Add a Vendor Profile

  • Hover the cursor over Explore, then select Vendors.

  • Click Create Vendor.

  • In the Create New Vendor modal, select the Vendor Type:

    • Business

      • Enter the Business Name.

    • Individual

      • Enter the First Name and Last Name.

For multi-organization tenants:

Admins with multi-organization permissions can associate a single vendor profile with multiple organizations.

  • Select one or more Organizations in the dropdown.

The Internal Vendor ID will auto-populate.

  • If applicable, add a Primary Contact for the vendor.

  • When finished, click Save.
    OR
    To close the modal without adding the vendor profile, click Cancel or ✖.

After adding the vendor profile:

  • Attachments and comments can be added.

  • Vendor contacts can be added.

  • All Admins for the organization will receive an automated email notification alerting them that a provider profile was added.


How to Edit a Vendor Profile

  • Navigate to the vendor profile.

  • In the vendor profile, click Edit.

  • In the Edit Vendor modal, edit the vendor information.

  • If applicable, add comments and/or attachments to the vendor profile.

  • When finished, click Save.
    OR
    To close the modal without saving your changes, click Cancel or ✖.

Contracts, workflows, and exclusion verifications associated with the vendor are listed in tabs at the bottom of the vendor profile.


How to Add a Vendor Contact

  • Navigate to the vendor profile.

  • Under the Vendor Contacts tab, click Add Vendor Contact.

  • In the Create New Vendor Contact modal, enter the contact information.

  • If applicable, check the box to designate the person as the Primary Contact. The Primary Contact will be the first displayed in the contact list.

  • When finished, click Save.
    OR
    To close the modal without adding the vendor contact, click Cancel or ✖.


How to Edit a Vendor Contact

  • Navigate to the vendor profile.

  • Under the Vendor Contacts tab, click the caret to the left of the contact name.

  • Click the … (ellipsis) located on the right.

  • In the dropdown, select Edit.

  • In the Edit Vendor Contact modal, edit the contact information.

  • When finished, click Save.
    OR
    To close the modal without saving your changes, click Cancel or ✖.


How to Delete a Vendor Contact

  • Navigate to the vendor profile.

  • Under the Vendor Contacts tab, click the caret to the left of the contact name.

  • Click the … (ellipsis) located on the right.

  • In the dropdown, select Delete.

  • In the confirmation modal, click Delete Vendor Contact.
    OR
    To close the modal without deleting the vendor contact, click Cancel or ✖.


How to Add a Vendor Exclusion Verification Record

  • Navigate to the vendor profile.

  • Under the Exclusion Verification tab, click Add Exclusion Verification.

  • In the Add Exclusion Verification modal, enter the information.

  • If applicable, click the (+) Upload Attachment to upload an attachment.

  • When finished, click Save.
    OR
    To close the modal without adding the vendor exclusion verification record, click Cancel or ✖.

Your username will be recorded in the Verified By field of the record.


How to Edit a Vendor Exclusion Verification Record

  • Navigate to the vendor profile.

  • Under the Exclusion Verification tab, click the caret to expand the record.

  • Click the … (ellipsis) located on the right.

  • In the dropdown, select Edit.

  • In the Edit Exclusion Verification modal, edit as needed.

  • When finished, click Save.
    OR
    To close the modal without saving your changes, click Cancel or ✖.

Your username will be recorded in the Verified By field of the record.


How to Delete a Vendor Exclusion Verification Record

  • Navigate to the vendor profile.

  • Under the Exclusion Verification tab, click the caret to expand the record.

  • Click the … (ellipsis) located on the right.

  • In the dropdown, select Delete.

  • In the confirmation modal, click Delete Exclusion Verification.

    To close the modal without deleting the vendor contact, click Cancel or ✖.
