Change the Phase Owner or Phase Mediator

Phase Management

When a workflow is initiated, the Phase Owner or Phase Mediator is automatically assigned to each phase in the workflow.

• The Phase Owner or Phase Mediator is assigned based on the workflow template selected during the Initiation Phase.

• If a group is assigned as the Phase Owner or the Phase Mediator, the group is filtered for appropriate permissions the applicable location and contract type. A random member of the filtered sub-group is assigned as the Phase Owner or the Phase Mediator.

Who can do this?

• Admin

• Current Phase Owner

• Current Phase Mediator

Who can be a Phase Owner or Phase Mediator?

• Only a user with Phase Owner or Admin permissions for the applicable location and contract type can be assigned as Phase Owner.

• Only a user with Phase Mediator or Admin permissions for the applicable location and contract type can be assigned as Phase Mediator.

• A Phase Owner Group can be assigned as Phase Owner.

• A Phase Mediator Group can be assigned as Phase Mediator.

When can you do this?

• An Admin can change the Phase Owner or Phase Mediator for a current or upcoming phase in an active workflow.

• The current Phase Owner can change the Phase Owner for the current phase in an active workflow.

• The current Phase Mediator can change the Phase Mediator for the current phase in an active workflow.

• The Phase Owner or Phase Mediator cannot be changed for a completed phase.

Each phase must have a Phase Owner or a Phase Mediator. A workflow can have a Phase Owner and a Phase Mediator, but a single phase cannot have both.

Where can you do this?

• You can change the Phase Owner or Phase Mediator under Participant Info in the workflow accordion.

• The Phase Owner or Phase Mediator appears in:

  • The workflow accordion under Participant Info

  • Phase Owner column in the worklist (the column appears by default)

How to Change the Phase Owner or Phase Mediator

• In the Phase Info tab, click Participant Info.

• Click the (+) to the right of the Phase Owner’s name or the Phase Mediator’s name.

• In the Edit Phase Management modal, select the desired Phase Owner or Phase Mediator for the phase.

• When finished, click Save.
  OR
  To close the modal and discard your changes, click Cancel or ✖.

• A Phase Owner can only be replaced with another Phase Owner.

• A Phase Mediator can only be replaced with another Phase Mediator.
