How to Complete an Activation Phase
If an Abstraction workflow is in progress for the contract, then the Abstraction workflow must be completed before any other workflow for that contract can be activated.
On the workflow page, fill in any applicable form fields.
To save changes to the form without starting the phase, click Save Changes.
Form fields can only be edited by an Admin, Phase Manager, or in-turn Reviewer or Approver.
Add any attachments.
Add any comments.
Add any Responsible Parties.
The workflow cannot be activated unless a Primary Responsible Party has been designated. Only Admins, Editors, and Contract Moderators can be designated as responsible parties.
Once the Activation Phase is completed:
The Responsible Parties will receive an automated email notification alerting them to their responsibility, as well as an automatic email notification regarding the contract expiration date.
The Initiator will receive an automated email notification notifying them that the workflow they initiated resulted in an activated contract.
Click Start Phase.
After any applicable comments have been addressed, click Activate.
In the modal, select any attachments you’d like to carry over to the contracts list, then click Activate.
If a non-Abstraction workflow is in progress for the contract, then you’ll see a confirmation modal:
To activate the workflow, click Activate. To exit without activating the workflow, click Take Me Back.
If an Abstraction workflow is in progress for the contract, you’ll see the following modal:
Click OK to return to the workflow.
The order in which workflows are activated affects the final contract. The following rules are enforced where conflicts exist:
Documents and attachments in the last workflow to be activated will be the documents and attachments that appear in the new version of the contract.
Field values entered in the last workflow to be activated will be the values in the new version of the contract.
However, if an empty field value exists at the start of a workflow and persists through activation, then that empty field value will not overwrite a populated value entered in another workflow.
